A 24-advocate Nairobi law firm recovered roughly 8 billable hours per advocate per month by automating matter-file management.
A Law Firm Recovers Billable Hours With Auto-Filing
"Eight hours per advocate per month, recovered. Across 24 advocates, that's 192 hours of capacity." — Managing Partner
The numbers
- 24 advocates + 18 support staff
- 400+ active matters managed in Papyrus
- 8 billable hours/advocate/month recovered (firm estimate)
- 192 hours/month firm-wide capacity recovered
- 100% conflict-check coverage (previously: spotty)
The pain
The firm's advocates spent significant non-billable time on:
- Filing emails into the right matter folder
- Saving Word drafts to the right share location
- Building court bundles by manually assembling documents from disparate sources
- Running conflict checks on new matters (which sometimes got skipped)
- Drafting standard documents from scratch when templates existed
None of these were billable. All were operationally necessary.
The intervention
Three Papyrus capabilities did most of the work:
- Email-to-matter routing: Every email forwarded to
matters@firm.papyrus.iowas AI-classified and routed to the correct matter workspace. Advocates stopped manually filing. - Document templates with merge fields: Standard documents (pleadings boilerplate, retainer letters, NDAs) instantiated with client and matter metadata pre-filled.
- Court bundle assembly: Selecting documents and clicking “Build Bundle” produced a hyperlinked, paginated PDF with the firm's standard cover and index.
Conflict checks became a workflow gate before any new matter opened — Compliance Partner approves the no-conflict opinion in Papyrus, with the search result preserved as evidence.
Time accounting
The firm's time-tracking system showed the recovery:
- Email filing: ~3 hours/advocate/month reduced to <30 min
- Document drafting (templates): ~2 hours/advocate/month
- Bundle assembly: ~2 hours/advocate/month
- Conflict and matter setup: ~1 hour/advocate/month
Total: ~8 hours/advocate/month. At the firm's blended rate, this represents materially more revenue than the Papyrus subscription.
The compliance dividend
LSK and POCAMLA compliance posture improved as a side effect:
- 100% of new matters have conflict checks (previously ~75%)
- 100% of client engagement letters are signed and filed (previously ~90%)
- Trust account ledger reconciliations are linked to source documents (previously a separate workbook)
