Live Meetings — Attendance, Quorum, Presenting and Voting

Run a board meeting in the live room: check-in and quorum, the agenda timer, in-camera sessions, declarations, page sync with a pointer, motions and live votes, chat and running notes.

Live Meetings

The secretariat runs the meeting from Live room on the meeting page; directors join from Live on their meeting page (it opens two hours before the start).

Attendance and quorum

  • Directors check themselves in — in the room or remotely. The secretariat can correct any entry.
  • Quorum is worked out from the board's rules and the attendance recorded. For an item, directors who have recused themselves are left out when the rules say so.
  • The meeting cannot be closed unless recorded attendance makes it quorate.

Taking the agenda

Take items in order or use Next item. Each item's actual start and end times are kept for the minutes. Taking an in-camera item puts the room in camera: invitees, observers and executive directors see only that the meeting is in camera until it ends.

Declarations

A director can declare an interest from their live page (the secretariat can record one for any director): disclose, or recuse from an item or the whole meeting. A new interest is added to the conflicts register.

Presenting

The secretariat grants the presenter role (participants can ask for it). Everyone following sees the presenter's page in their own copy of the pack — the same paper page even when their page numbers differ — and the pointer. If the presenter is on a page you do not have, you see a notice instead.

Motions and votes

Put a motion from the console: it becomes a resolution filed against the current item and can be opened for voting at once. Directors vote from their live page after confirming it's them. The count of votes cast is shown live; a secret ballot's result stays sealed until voting closes. The chair's casting vote is asked for on an exact tie when the rules allow it.

Chat and notes

Participants can chat with everyone or privately with the secretariat. The secretariat keeps running notes per item; minutes start from them.

Recording

Upload a recording after (or during) the meeting once participants have been told. When the board allows AI, it is transcribed and can help draft the minutes.
