Find your queue, review the document, approve / reject / delegate — in one screen.
Reviewing and Approving Tasks Assigned to You
Where your tasks live
Go to Workspaces → Workflows → My Approvals. This is your queue — every task assigned to you, sorted by SLA urgency.
For each task you see:
- Document title and preview
- Workflow name and step
- SLA deadline (with the green/amber/red indicator)
- Submitter and their note
- Quick actions
You can also open tasks from email — every notification email contains a one-click approval link.
Reviewing a task
Click any task to open the review pane:
- Document preview — read or scroll through the PDF/Word in-place
- Extracted metadata — what AI pulled out, quickly scannable
- Submitter's comment — any context they added
- History — every previous step in this workflow
- Linked documents — related contracts, POs, invoices
Approving
When you're satisfied:
- Click Approve
- Add a comment (optional, but recommended for posterity)
- Confirm
The workflow advances. The next approver (or completion) triggers automatically.
Rejecting
When you can't approve:
- Click Reject
- Add a comment — mandatory, explaining what needs to change
- Confirm
The submitter is notified. They typically revise and resubmit.
Requesting changes
Sometimes you need a small change before approving (not a full rejection):
- Click Request changes
- Describe what change is needed
- Confirm
The submitter is notified. When they upload a revised version, the workflow comes back to you for re-review (not to the start).
Delegating
If you can't act in time:
- Click Delegate
- Choose a user (typically your delegate or a peer)
- Add a note explaining
The task moves to them. Audit log captures the delegation.
Bulk approval
For high-volume queues (e.g., AP teams processing dozens of small invoices):
- Filter your queue (e.g., “Invoices under KES 50,000 from approved suppliers”)
- Select multiple
- Click Bulk approve
- Confirm
The bulk operation is logged with all the same audit detail as individual approvals.
